PRIVACY POLICY
This Privacy Policy describes how Bastion Events ("we," "us," or "our"), part of The Bastion Collection, collects, uses, and shares personal information when guests visit bastion-events.com, inquire about a private event or catering experience, subscribe to our communications, or otherwise interact with us. By engaging with our website or services, you acknowledge the practices described below.
1. Information We Collect
We collect information directly from you, automatically through your interactions with our website, and from trusted third parties.
Information you provide. When you submit an inquiry, request a proposal, subscribe to our communications, or contact us, we collect details such as your name, email address, phone number, mailing address, event date, guest count, venue, dietary or service preferences, and any other information you choose to share.
Information collected automatically. When you visit bastion-events.com, we and our service providers collect device and usage information, including IP address, browser type, operating system, referring URLs, pages viewed, and approximate location. We use cookies, pixels, and similar technologies — including the Meta Pixel, Meta Conversions API, and Google Analytics — to operate our website, analyze traffic, and deliver and measure advertising.
Information from third parties. We may receive information about you from event-management platforms, advertising and analytics partners (including Meta and Google), email and CRM service providers, social media platforms when you engage with our channels, and affiliated entities within The Bastion Collection.
2. How We Use Information
We use the information we collect to respond to your inquiries, plan and deliver your event, send invitations and updates about menus, openings, and experiences you may enjoy, measure and optimize our advertising, improve our website, protect against fraud and unauthorized activity, and comply with our legal obligations.
3. When and How Information Is Shared
We do not sell guest information. We share information only as follows: with service providers under contract who help us operate (event-management platforms, payment processors, email and SMS providers, hosting, analytics, and advertising partners); with advertising partners including Meta and Google, with whom we may share hashed identifiers such as an encrypted email address to build custom audiences and lookalike audiences; with affiliated entities within The Bastion Collection for shared marketing and operational purposes; as required by law, in response to valid legal process, or to protect the rights, property, and safety of our guests, team, and business; and with your direction or consent.
Sharing data with advertising partners to build custom or lookalike audiences may be considered "targeted advertising" or "sharing" under certain state privacy laws. You may opt out as described in Section 6.
4. Meta Pixel and Online Advertising
We use the Meta Pixel and Meta Conversions API on our website. These tools collect information about your interactions with bastion-events.com — such as pages viewed and inquiry submissions — and share it with Meta so we can measure ad performance, build custom audiences from website visitors, and create lookalike audiences. Your interactions with Meta are also governed by Meta's data policy, available at facebook.com/policy.php. You can manage your ad preferences in your Facebook or Instagram account settings.
5. Retention of Personal Information
We retain personal information for as long as needed to deliver our services, meet our legal and tax obligations, resolve disputes, and enforce our agreements. Information used for marketing is retained for no more than five years from your last interaction with us, after which it is added to a suppression list or deleted.
6. Your Privacy Rights
You can unsubscribe from marketing emails using the link in any email and stop SMS communications by replying STOP to any text. You can opt out of advertising cookies through your browser settings, your device privacy settings, or industry tools at optout.aboutads.info, optout.networkadvertising.org, and tools.google.com/dlpage/gaoptout.
Texas residents have the right to confirm whether we process their personal data, access that data, correct inaccuracies, delete it, obtain a portable copy, and opt out of targeted advertising, the sale of personal data, and certain profiling. California residents have substantially similar rights under the CCPA, including the right to know, delete, correct, and opt out of the sale or sharing of personal information. Residents of other U.S. states with comprehensive privacy laws may have similar rights, which we honor as required.
To exercise any right, or to appeal a denied request, email us at the address below with "Privacy Request" in the subject line. We will respond within the timeframes required by applicable law, and we will not discriminate against you for exercising your rights.
7. Children's Privacy
Our website and services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is completely secure, and we cannot guarantee the absolute security of any information transmitted to or stored by us.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The Effective Date above reflects the current version. Where appropriate, we will provide additional notice of material changes through our website or by email.
